Delegation monitoring officer - Luxembourg

Robeco Luxembourg S.A. is the management company for Robeco's UCITS fund range in Luxembourg. Robeco is an international asset manager offering an extensive range of active investments. Robeco Luxembourg SA is responsible for the management of multiple UCITS fund structures. The fund range encompasses 75 Sub Funds and 550 share classes that represent more than EUR 50 billion in assets under management. Robeco Luxembourg SA has been appointed by these Funds to serve for each of these Funds as its designated management company. Robeco Luxembourg provides administration, investment management, distribution and marketing of the funds mentioned. Robeco Luxembourg has outsourced part of its functions to service providers.

The investment management, marketing and distribution of the funds has been delegated to Robeco Institutional Asset Management (RIAM) in Rotterdam. The central administration  and transfer agency functions are outsourced to outside service providers.

The day-to-day management of these funds lies with two conducting officers based in Luxembourg.

The management company is – amongst others - responsible for:

  • the risk monitoring procedures in accordance with all applicable laws and regulation. The fulfilment of this process is done by the dedicated risk managers of the company 
  • the application of all applicable and legal and regulatory provisions 
  • the supervision and coordination of activities carried out by service providers

The management company is looking for an experienced delegation monitoring officer whose main responsibilities will center around the monitoring of the appointed service providers and will report to the Conducting Officers in Luxembourg. There will be a direct functional relationship with the Compliance department based in Rotterdam.

Responsibilities for this position include but will not be limited to

  • Manage and administer the due diligence process on service providers
  • Evaluate service provider questionnaires
  • Analysis of ISAE 3402 or other SOC reports 
  • Establish and monitor regular KPI reports
  • Conduct on-site visits
  • Be in frequent contact with service providers to monitor their services  
  • Assessment of the impact of regulation on the oversight of the service providers
  • Communication with various parties – internal and external (regular and ad hoc)
  • Provide a substantial contribution to the Luxembourg office 
  • Liaise with the Luxembourg legal advisor and regulator where necessary

The role will include responsibility for delegation processes to service providers on behalf of Robeco Luxembourg and participate in projects with the organization in Rotterdam.

To do so, the Delegation Monitor Officer makes use of strong project-management and personal skills to mobilize the appropriate resources and is comfortable working in a multi-discipline and international environment at all levels of the organization.

You bring (new) knowledge and new insights to the table. You are able to translate complex matters into clear results and realize them under high pressure.

Your profile

  • Degree from a Business school in Economics or comparable
  • Minimum 6 years' experience in the financial sector, big four experience is an asset
  • Extensive knowledge of Microsoft Office products, especially Microsoft Excel  
  • Knowledge of Luxembourg investment laws, in particular the UCITS law
  • Knowledge of fund structures / asset classes (i.e. equity, bonds, fund of fund)
  • Knowledge of due diligence processes and/or experience in project management 
  • Fluent English, knowledge in other languages is an asset

Our ideal candidate has a university degree and minimum 6 years of work experience. Applicants should have strong analytical skills and be pro-active in working closely with many different disciplines.
